We’re now looking for our next Office & Event Coordinator to join the People & Culture team, here in central Stockholm.
About the role
The Office & Event Coordinator at Quickspin plays one of the most important roles in the entire company. Being a part of the People & Culture team, you will be at the heart of Quickspin and integrate with just about everyone in the organization. Having a broad role like this, your average week at the office will be filled with a smorgasbord of tasks, talking to people on site and remotely.
Quickspin has offices in Stockholm (HQ), Malta and Kyiv, where we offer a flexible work approach with a hybrid work setup for office/remote working. We also have a few people working remotely full time. For this reason, we need to focus on building experiences that bring people together — regardless of setup or location. You will therefore be responsible for planning and executing digital and in-person events. Being the master of experiences, you plan ahead to make sure we have a wide variety of events that can be enjoyed by our diverse working staff. Enabling experiences vary from decorating the office for seasonal events like Valentine's Day, organize common breakfasts, game release fika’s or company-wide informational meetings, to booking physical/mental health related activities, team kick-offs to major summer/winter parties, or even bigger company trips. It can also be to plan a simple after work at the office or sending flowers when a colleague has had a baby.
As a part of enabling a great employee experience at Quickspin, it is also vital to have a well-functioned and inclusive office. Here, you will make sure everybody feels seen and heard while continuing to create a welcoming & positive atmosphere to visitors and colleagues. At the same time, you will be the office manager in making sure the office is physically a safe place to work, fully stocked and works as it should. Being responsible for office maintenance and reception, you will handle all office related contracts (rent, service, etc.) including overall security and its procedures (like fire prevention, manage security systems & security training), and be point of contact around inquiries like faults of the facilities, travel bookings or phone administration. Tasks can vary from handling visitors, book/order lunch to big meetings, manage office supplies & edibles inventory, be the point of contact for all external office-related vendors and purchases (landlord, cleaners, deliveries etc.), placing orders & purchase order requests, participate in the physical work environment security round, update lists & our intranet, collect post, administrate info mail, empty dishwashers, clean the coffee machine or restocking the beer fridge.

Qualifications & Experience
For this role, we believe you
Are based in Stockholm & don’t have any problem being at the office full time
Have previous experience in event planning & management
Are service-minded, encouraging & social, who gets people excited to attend events
Have proven experience within office or HR administration
Are organized, cost-effective & can take responsibility for office management and events planning/ execution from concept & budgeting to logistics & deliveries
Can stay cool when having multiple projects running at the same time
Are humble with performing tasks on a high and low level; all equally important for the organization
Possess decent skills in Microsoft Office
Are fluent in both written/spoken English & Swedish
May have an education within social science, economy or other relevant areas
